1. Privacy summary
Personal Document Vault is a local-first Windows application. Its core function is to organize and encrypt personal documents on your device. The app does not require a Personal Document Vault online account, does not contain advertising, and does not include product analytics that report your document activity to the publisher.
2. Data the app and website handle
You may choose to store document files and related information such as titles, categories, household profiles, optional profile contact details, tags, issue and expiration dates, document identifiers, issuing organizations, countries or regions, and private notes. Depending on the files you select, this information may include identity, medical, financial, household, or other highly sensitive personal information. The app accesses and stores that information solely to provide the vault features you request.
An optional phone number or contact email entered in a local profile is encrypted in the vault. It is not verified, transmitted to the publisher, used to create an online account, or connected to password recovery in this version.
Your vault password, encryption material, preferences, favorites, recently viewed state, and other operating information may also be stored locally as needed for the app to work. You control what you enter. Selecting a file and choosing to save it to the vault is your explicit instruction to process that file locally for this purpose.
If you submit the website support form, the publisher receives the name, reply email address, selected support topic, message, and submission time you provide. The form does not accept attachments. A one-way hash derived from the connecting IP address may be retained temporarily and stale rate-limit records are periodically removed. Support information is used only to respond, troubleshoot, protect the form, and maintain necessary support records.
3. Local storage and encryption
Vault document contents and sensitive metadata are stored on your Windows device and protected using encryption. Preview content is decrypted in memory while the vault is unlocked. Exporting a document creates a decrypted copy at the destination you choose; that exported copy is outside the vault’s protection.
4. Optional backup and recovery
The app does not upload your documents automatically. If you choose to create or place an encrypted backup in another location or service, that destination’s provider may process the encrypted file under its own terms. Keep your password and recovery material secure and separate from the backup. A saved recovery key can be used in the app to set a new password. If both the password and recovery key are lost, the publisher cannot read or decrypt your vault.
5. Microsoft and other services
The publisher does not receive, sell, rent, or disclose the documents or sensitive metadata stored in your local vault. Microsoft may process Store transactions, licensing, downloads, updates, and platform diagnostics under Microsoft’s own privacy terms. Windows file pickers and any storage location you select are governed by the operating system and, where applicable, the provider of that destination. If you choose an external location for an encrypted backup or decrypted export, that provider may process the file under its own terms. Personal Document Vault does not control those services.
Website hosting and email service providers may process support-form information as needed to deliver the website and email. The publisher does not sell support information or use it for advertising.
6. Your choices and deletion
You decide which files and metadata to add, whether to create household profiles, and whether to make a backup. You can move records to Trash and permanently delete them from the app. You can also uninstall the app and remove its local data using Windows; keep any exports or backups you still need before doing so.
Submitting the support form is optional. You may use the support form to ask about access to or deletion of support correspondence, subject to legal, security, and recordkeeping obligations.
7. Security responsibilities
Use a strong, unique vault password, lock Windows when unattended, install trusted system updates, and protect backup media. No software or device can guarantee absolute security. Malware, compromised Windows accounts, unsafe exports, weak passwords, or physical device access may reduce protection.
8. Children’s privacy
The app is a general-purpose household organizer and is not directed to children. Adults may organize a dependent’s documents locally, but should store only what is necessary and protect access to the Windows account and vault.
9. Policy changes and contact
This policy may be updated when the app’s features or legal obligations change. The effective date above identifies the current version. For privacy questions, use the protected support form.
