01 · Foundation

Getting started

Digital Medical Assistant is an offline-first Windows organizer. Family profiles connect medicines, appointments, doctors, documents, and activity so each record stays associated with the correct person.

Recommended setup order

  1. Create family profiles. Add the people whose information you are authorized to manage.
  2. Add doctors and medicine routines. Record the active care team, medicine details, schedules, and reminder preferences.
  3. Add appointments and documents. Connect each visit, report, prescription, or scan to the correct person.
  4. Review Settings. Choose appearance, document density, units, notifications, and startup behavior.
  5. Create a backup routine. Preserve the database, managed attachments, and original documents separately.

Dashboard

The Family Command Center combines time-sensitive tasks with a broader family overview.

  • Summary cards open family members, remaining doses, appointments, or routine settings.
  • Needs your attention surfaces overdue and time-sensitive items.
  • Today’s medicine schedule lets you mark tasks taken, snooze, or record a skipped dose.
  • At a glance shows family profiles, routines, appointments, documents, and recent activity.

The dashboard refreshes while open and after items are added through global dialogs.

04 · People

Family profiles

A profile may contain name, date of birth, gender, relationship, blood group, phone, email, address, height, weight, allergies, chronic conditions, notes, and an optional photo.

  • Select a profile to open its complete overview.
  • At a glance shows active routines, upcoming appointments, recent documents, and activity.
  • Add a medicine, appointment, or document directly from the profile page.
  • When no photo is available, a neutral gender-aware placeholder is shown.

The Free plan currently supports up to five profiles.

05 · Daily care

Medicines and dose tasks

Create a medicine routine for a family member, including the medicine name, form, strength, dose, food instruction, start/end dates, notes, reminder preference, and one or more daily times.

Routine status

  • Active: appears in current care views and creates eligible tasks.
  • Paused: remains saved but stops producing new active tasks.
  • Completed: is preserved as history.
  • Cancelled: is preserved with its prior context.

Today’s actions

  • Taken records completion once for the scheduled day.
  • Snooze creates a later reminder for the selected number of minutes.
  • Skip records that the dose was not taken and may include a reason.

Verify all instructions

Never change medicine, dose, timing, or food instructions based only on information shown in the app.

06 · Visits

Appointments and post-visit notes

Appointments can include a family member, saved doctor, date, time, purpose, location, reminder interval, and notes.

  • Filter appointments by one or more family profiles.
  • Reschedule while preserving the previous context.
  • Cancel an appointment without erasing its history.
  • Complete a visit with symptoms discussed, diagnosis, doctor notes, prescribed medicines, tests, follow-up date, and additional notes.
  • Save post-visit details as a draft before completing them.
07 · Care team

Doctors

Save a doctor’s name, department or specialization, clinic, phone, email, address, clinic schedule, notes, and linked family members. Filter the list by one or more departments. Selecting phone or email uses the corresponding Windows handler.

08 · Records

Documents

Add prescriptions, reports, scans, and general documents. Supported types include PDF, PNG, JPG/JPEG, DOCX, and XLSX.

  • The selected file is copied into app-managed local storage; the original is not replaced.
  • Filter documents by one or more family profiles.
  • Choose compact icons or visual cards in Settings.
  • Select a document to open it through its associated Windows application.

Managed copies

Keep original medical files independently. A document may fail to open if its managed copy is removed or Windows has no application associated with that type.

09 · History

Timeline and search

The Timeline presents profile, medicine, dose, appointment, document, and follow-up activity chronologically. Select one family member or Everyone. Global search is intended for fast navigation rather than editing.

10 · Notifications

Reminders

Medicine and follow-up reminders use Windows notifications. The application process must remain open or minimized for its reminder service to run.

If a reminder does not appear

  1. Confirm the app is open or minimized.
  2. Confirm notifications are enabled in the app and Windows.
  3. Review Focus Assist / Do Not Disturb and lock-screen settings.
  4. Verify Windows date, time, and timezone.
  5. Check that the routine is Active, reminders are enabled, and the schedule is correct.

Never rely on one notification system

Hardware, Windows configuration, power state, incorrect data, or software failure can delay or suppress notifications.

11 · Preferences

Settings

Appearance

Choose Light, Dark, or System and compact or visual document display.

Measurement units

Display height in centimeters or inch and weight in kilograms or lbs.

Reminders & startup

Enable Windows notifications and optionally start the packaged app after sign-in.

Plan & policy

Review your plan, Pro preview, app version, documentation, and privacy policy.

After changing a setting, use the highlighted Unsaved settings button before leaving the page.

12 · Local data

Data and backups

The app stores SQLite data and managed attachments inside the current Windows user’s application-data area.

  1. Open Settings.
  2. Under Private local data, choose Create Database Backup.
  3. Select a safe destination and keep more than one dated copy.
  4. Preserve managed attachments and original medical files separately.

Database backup limitation

The database backup does not automatically bundle every managed attachment.

13 · Help

Troubleshooting

A Quick Add dialog does not open

Click away to close the menu and try again. If necessary, restart the application.

A document does not open

Confirm that its managed copy exists and Windows has an application associated with its file type.

Information appears missing

Clear active profile or department filters. Filters apply immediately and can include multiple selections.

The theme appears unchanged

Select the desired theme and then save settings. System follows the Windows color preference.
